QHSE Administrator

SUMMARY OF FUNCTION

Assists the Head of Sustainability, Risk & Safety Compliance and QHSE Officer and maintains the quality management systems like quality (ISO 9001), food safety (ISO 22000, HACCP), Health & Safety (ISO 45001), Environmental, CSR/Sustainability (ISO 14001, Green Key, Marriot’s Serve 360), Data Protection, etc.

DUTIES & RESPONSIBILITIES

1. General:

  • Supports the organization’s sustainability and safety initiatives.
  • Ensure that the company complies with environmental regulations, promotes sustainable practices, and maintains a safe working environment
  • Implements the requirements of the hotel’s management systems to ensure its effectiveness and efficiency.
  • Implements the hotel’s management policies and objectives.
  • Monitors legislative and contractual developments and takes actions to conform to them.
  • Designs, prepares, and implements management system documents (i.e., procedures, job descriptions, forms).
  • Monitor and report on the company’s environmental impact, including energy use, waste management, and carbon footprint.
  • Collaborate with departments to integrate sustainable practices into daily operations.
  • Conduct sustainability assessments and audits to identify areas for improvement.
  • Prepare sustainability reports for internal and external stakeholders.
  •  Stay updated on sustainability trends, technologies, and regulations to ensure the company remains compliant and proactive

2. Management systems:

  • Ensures that the hotel follows relevant ISO standards and guidelines related to quality management, social and environmental responsibility, and risk management.
  • Handles corrective actions.
  • Implements and monitors management system data.
  • Updates the management system database, documentation, and electronic data.
  • Maintains and updates the quality management system documents.
  •  Identifies improvement opportunities and suggests action.

 

3. Environmental / sustainability management

  • Assists in the implementation of the Green Key.
  •  Collects environmental performance data.
  • Liaises with associates for environmental and sustainability issues.
  • Supports hotel associates on environmental/sustainability matters.
  • Conduct regular training sessions on sustainability practices and safety procedures for employees at all levels.
  •  Communicate sustainability goals and safety expectations across the organization.
  • Foster a culture of continuous improvement in sustainability and safety

4. Compliance and Reporting:

  • Ensure the organization is compliant with all relevant environmental, health, and safety regulations.
  • Prepare and submit required regulatory reports related to sustainability and safety.
  • Maintain up-to-date knowledge of relevant laws, regulations, and industry standards.
  • Develop and manage emergency response plans and procedures

 

5. Health & Safety management

  • Maintains the existing Health & Safety Management System.
  •  Conduct regular safety audits and inspections to identify hazards and ensure corrective actions are taken.
  • Identifies areas for improvement with regards to Health & Safety policies and procedures.
  • Supports hotel associates on health and safety matters.
  • Investigate workplace accidents and incidents, and develop strategies to prevent future occurrences.
  •  Maintain records of safety incidents, training, and compliance documentation.
  • Coordinate safety training programs for employees, ensuring they are informed of safety protocols and best practices.

QUALIFICATIONS

  • Bachelor’s degree in a relevant field (e.g., Occupational Health & Safety, Environmental Science, Food Technology.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Attention to detail and ability to handle documentation and compliance reporting.
